What the operations desk actually does.

Scope is set per venture in a service schedule. This is the full menu; your agreement will name which of it applies.

Line 01

Driver & renter support

Enquiries, onboarding, document collection and expiry tracking, rental agreement issue, weekly payment follow-up, swap and return coordination, first-line incident intake.

Line 02

Booking & dispatch coordination

Where the model has bookings: intake across phone, chat, email and app, allocation, exception handling, no-show and delay management, and the customer communication around all of it.

Line 03

Corporate account servicing

Account onboarding, standing bookings, rate card administration, service reporting to the client, invoice preparation and receivables chasing.

Line 04

Fleet administration

Maintenance scheduling, inspection and certification calendar, telematics monitoring, fuel and toll reconciliation, damage documentation and claims paperwork.

Line 05

Compliance calendar

Every licence, permit, registration, insurance policy and statutory filing with its renewal date tracked, with escalation before deadlines rather than after them.

Line 06

Supplier & renewal management

Insurance renewals put to market, technology subscriptions reviewed, maintenance vendors compared, and the local contact's performance monitored.

Line 07

Bookkeeping coordination

Transaction capture, reconciliation, liaison with your accountant, and preparation of the monthly management pack. Filings are made by licensed professionals.

Reporting & governance

A monthly pack with operating metrics, financial performance against plan, incidents and compliance status, plus a quarterly review call with a written record of decisions.

The boundary

What we can and cannot do from a desk.

This is the rule we apply to every task, and it is written into the agreement. It protects you as much as us, because a promise we cannot keep is worse than a gap you planned for.

In scope

Six verbs

The desk can coordinate, verify, record, communicate, monitor and report. Almost everything a transport business needs day to day falls inside those six.

  • Book an inspection and chase it to completion
  • Verify a document and record its expiry
  • Communicate with drivers, riders and corporate clients
  • Monitor telematics, payments and service levels
  • Prepare filings, invoices and applications for signature
  • Report performance against the plan
Out of scope

Anything needing presence, licence or authority

  • Physically inspecting a vehicle or attending an incident
  • Holding a licence or permit on your behalf
  • Signing contracts where authority we do not hold is required
  • Giving legal, tax, immigration or investment advice
  • Making the final call on dismissal, litigation or a safety investigation
  • Taking or holding customer payments where regulation prevents it

Each of these is mapped, at setup, to your local contact or to a licensed provider, with a documented handoff and a stall rule if it is not actioned.

Authority

What we can decide without asking you.

Written as a schedule to the management agreement. The point is that neither side is guessing when something needs doing at 2am in another time zone.

Coverage

Hours of coverage are set in your service schedule and priced accordingly. A rental fleet usually needs extended business hours in the market's time zone. An operator with live bookings needs round-the-clock cover. We will tell you which your model genuinely requires rather than selling you the larger one by default.

Accountability

Measured on what we control.

Service measures are classified before they are agreed, because holding a desk to account for something it cannot influence produces theatre rather than performance.

Class 1

Controllable

Entirely ours. Response times, document accuracy, reporting delivery, compliance deadline tracking, invoice preparation accuracy. Service credits attach to these.

Class 2

Influenceable

We affect the outcome but do not decide it. Vehicle occupancy, receivables days, driver retention. Reported and reviewed, but not credit-bearing.

Class 3

Observable

Reported because you need to see them, outside our control entirely. Insurance market pricing, platform policy changes, licensing decisions, fuel costs, demand.

Service credits

Where we miss an agreed Controllable measure, a credit against the monthly management fee applies, capped as stated in your agreement. This sits alongside the profit share, which independently means a badly run business costs us money.
